Our relationship: Intrica is committed to your privacy – our reputation depends on it! Reading this document, it is likely that we have two relationships. One of supplier, and one of guardian to your data and systems.

As a supplier, we will use the information you provide for the purpose of supplying and supporting the service(s) you have contracted to. Access to your data
Under normal circumstances, employees do not have administrative direct access to the production servers. However, a carefully limited number of employees have access for necessary system management, maintenance, monitoring security, and backup procedures. All access is logged and audited.

Administrative access implies that it is technically possible for us to access your data. We do not take this responsibility lightly, and our reputation depends on the continued security of your data. For this reason, we warrant that we will only access your data with your prior authorisation. If urgent circumstances dictate that we need to access your data without prior consent, for example issues affecting shared resources on our servers, then we will advise you immediately afterwards of the action we have taken.

Backups
All our servers and systems are backed up – at least nightly. This is necessary to ensure continuity in the event of hardware failure or attack. Our backups are stored on other servers, normally in different data centres, but always within the EU for our EU clients, or in your own country for our international clients. Data is, of course, transferred using encryption. Your continued use of our services permits this additional storage.

We will never share your information with other organizations
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

Unless you tell us otherwise, we may provide or publicise your company name as an active client, but we will not encourage other clients to seek references without your prior permission.

Recording of audio, images and video at Intrica events
Dedicated teams are responsible for the recording and the digital capture of audio, still images and video at all Intrica events. It is the policy of Intrica to use this captured information in publicity and marketing, as well at future events. No individuals within a captured image, video or sound clip are made personally identifiable. Where individuals are named, this is only done with prior consent. By attending Intrica events you are agreeing to the non-specific recording and digital capture of audio, still images and video.

If you have any questions about the way we use your data or would not like your data to be used for anything listed above, please contact us. We aim to use the information you give us in a way which is fair to you.

Information Security and GDPR assistance
Intrica will try to help with any regulatory requests relating to Information Security and GDPR. If, for example you receive a subject access request, or a “right to be forgotten” request, we will help you satisfy this request – even if your systems do not support this functionality. There may be a charge for this service.

Data retention
We may store emails, correspondence and other service information during, and for up to seven years following the termination of our relationship. Data relating to any hosted service will be removed within one month from our active servers and will subsequently be removed from backups due to rotation.

We may record individual voice calls and conference calls during the execution of our services, and these are subject to the same retention as correspondence.

Personal information collection: Intrica may collect and use the following kinds of personal information:
